1. Apologies

2. Matters Arising from Previous Minutes

2.1 Update on committee actions

Simon and Ella-Rose still need to join Trello.

Alice reported that almost all the actions are being completed.

3. Intersociety Christmas Concert 13th December

TUBBS will have a joint rehearsal with BUJO and Rev. on Friday 9th at 6.45pm. It was agreed that Ali will rehearse the carols with the three groups during this session, as neither Iain nor Simon are available to attend. All members should arrive at the church at 6pm on Tuesday, in concert dress.

Rev. are making the programmes for the concert and require a blurb about TUBBS, the logos of sponsors and details about the afterglow.

It was suggested that there was no need for the committee to be assigned roles as there would be enough people from the committees of each group to ensure that everything was done. The main tasks are selling tickets, tidying up the upstairs room and the church after the concert and directing people to the afterglow.

Action

  • Anna to email Rev. details for the programme
  • Anna to check that Mea Wilson is happy and see if she needs anything for refreshments
  • All committee to be useful before, during and after the concert
  • Simon to email members about Friday's rehearsal and the schedule on Tuesday.

4. Quartets Report

Sophie L suggested that quartets be encouraged to sing at Clifton Fair along with HotTUBBS. It was agreed that the event should be emailed out to both quartets and members, to start busking at 12pm.

  • Sophie L to email quartets about busking

5. Treasurer's Report

Dave reported that all 'groupies' and all but one member of HotTUBBS had paid for the coach to Manchester. In addition, Mailboxes Etc have not yet banked the cheque.

6. Upcoming Events

6.1 Christmas meal, 14th December

Alex reported that there are currently 58 members signed up for the Christmas meal. Ali will give the meal orders and deposit to the Slug and Lettuce after the meeting.

6.2 Burn's Night

Amelia Wilson is organising a RAG event for Burn's Night and wishes to invite all TUBBS members and include performances from quartets. While it is not an official TUBBS event, it was agreed that this could be advertised to the society on the Facebook group.

7. Any Other Business

7.1 Friends and Alumni

Jacob enquired about the Friends and Alumni mailing lists and whether they had subscribers. Carly confirmed that the Alumni list had several people subscribed, however it was noted that Sophie W had collected a number of names and emails of people interested in being on these mailing lists at past concerts. Jacob suggested that he could send an email out once a month, updating Friends and Alumni with TUBBS news, including details of concerts and other events. However the Alumni mailing list should include additional invitations to events such as TUBBS on Tour.

Jacob discussed his concerns about the original plan for Friends of TUBBS, which involved giving a discounted ticket price to concerts for those people who had donated money to TUBBS. Jacob pointed out that the society only holds one concert a year without input from other organisations, therefore giving Friends a lower ticket price would be unfair to the other societies or choruses who participate in concerts. He suggested that we give a different token of appreciation to Friends, such as discounts on TUBBS merchandise. New ideas for merchandise included committee bobbleheads (with Velcro hands for accessorizing e.g. conductor's baton). This discussion proceeded to become ridiculous and Carly stopped minuting because she was laughing too much.

It was decided that it would not be necessary to have different 'levels' of Friends (depending on the amount donated) instead it was suggested that there be a base amount that enables people to become Friends, while emphasizing that additional donations would be greatly appreciated. The committee discussed an appropriate figure for this base rate to be approximately £25.

It was suggested that Jacob write a section about becoming a Friend of TUBBS to be included on the website, along with a link allowing people to subscribe to this mailing list.

  • Sophie W to find list of names and emails and give these to Carly
  • Carly to add people to the Friends and/or Alumni mailing lists
  • Iain or Ben to create a subscription link to the website
  • Jacob to write about being a Friend of TUBBS to put on the website
  • Simon to include details about Friends of TUBBS in the next newsletter

7.2 TUBBS on Tour

Sophie W expressed her concerns that the Tour committee had not been elected yet. Simon reported that despite numerous calls for Tour Co-ordinator he has still not received any responses.

Action

  • All committee to encourage anyone who expresses an interest in being tour Co-ordinator to step forward

7.3 HotTUBBS success in Manchester Amateur Choral Competition

Sophie W asked if HotTUBBS's second place win at the Manchester Amateur Choral Competition could be included in the 'News' section of the website and the logo be added to the top of the page in the 'Awards' section.

  • Iain to update TUBBS website

7.4 Photos of rehearsals

It was suggested that the social secretaries could take photos of TUBBS rehearsals to be included on the website. However Dave mentioned that this wouldn't work as both social secretaries are in LadyTUBBS! Ali called Dave some very rude names….

It was also suggested that photos of TUBBS socials be collected.

8. Date of next meeting

The next meeting will be held on Thursday 15th December, 1pm at the Multifaith Chaplaincy
