The Awards Ceremony starts at 8pm, and TUBBS will be performing in the interval. Dress will be TUBBS concert gear, with the majority of the chorus meeting in the Clifton Cow in order to move across to the Union when required.
Four committee members are allowed to attend, however Iain can attend separately as he has been nominated for an additional award. It was agreed that people who were part of the committee last year should get priority, and Scarlett would organise the allocation of any additional space.
£2 would be a reasonable contribution for members to make towards food, and it was suggested that people should bring their own alcohol. The money collected would also go towards plastic cups, plates, cutlery etc. and soft drinks.
This is a more social event, between about 5-7pm and free to attend. The plan is that some quartets and TUBBS members would be present for informal singing.
It was confirmed that Victoria Rooms are aware of this gig, but it is arranged informally with no real publicity.
The minibus is not available from the Union, however an alternative is using 'Bristol van and car hire'. A 15 seat minibus is £89, to bring back early Saturday morning. The payment for the gig will be £200, plus £50 expenses, so this would cover hire and petrol costs.
The quoted price for this was £125 per hour, plus arrangers fee and expenses. The forms for expenses and invoices can be found in the cupboard.

Organisation continues well, it was clarified that the event was also open to friends and partners of members who want to come.
There are issues with staying in the Hostel in Belgium as a deposit would be needed very soon. Instead, it was decided that we would stay at a Novotel, which would make the tour about £350 per person. It was decided that past members would be able to attend should they wish.
Emily had investigated the use of St. George's Hall for concerts and has found that the cost would be around £1200. A 10% deposit would be required, however there would also be a fee if the concert was cancelled.
Dates were available from 2011 onwards. It was decided that a summer concert at this venue in 2011 would be unfeasible due to the presence of the Tour that year and issues with ticket prices.
In 2012, there are dates available for early February. It was suggested that the a cappella showcase could be held here, and early advertising and preparation would hopefully enable the concert to be a success.
There was also a space on Saturday 23rd February 2013, and it was agreed that it would be useful to book this as there is plenty of preparation time.
Sophie has been working on these, and we decided to have them printed on the highest quality paper suggested. Photos would be mainly group shots. In addition, photos should also be produced for display at Freshers' Fair.
Smaller ones need to be produced, with the A5 size being phased out.
It was suggested that we could organise trips to other Bristol choruses such as Bristol Fashion and the AvonBelles for people who would like to try out singing with them.
